EASyM respects your privacy. The EASyM strongly believes that any personal data provided to us by any means must be collected, used and stored in an adequate manner.
The Data Protection Act of Germany – the Bundesdatenschutzgesetz (BDSG) is applicable to the data collection by the EASyM, as the EASyM is an association established under the laws of Germany and the data is stored in Germany. EASyM is a data controller as stated in the BDSG Act. BDSG is based upon European data protection regulations (Directive 95/64 EG and opinions of the article 29 working party).
From 25th May 2018, the General Data Protection Regulation is applicable for any private contact details collected, stored and used by EASyM.
This Privacy Notice explains in detail the types of personal data we may collect about you when you interact with us. It also explains how we’ll store and handle that data and keep it safe.
Purpose of the processing and the legal basis for the processing
For the purpose of data collection, usage and storage, EASyM distinguishes between several groups:
The objective of the collection of your personal data is to fulfil the obligations that the EASyM has to you as a member, as defined by our Statutes and Internal Regulation. Your membership of the EASyM obliges us to provide you with information on EASyM benefits, events and publications organised by, or on behalf of EASyM.
EASyM newsletter subscribers
We collect, store and process your contact data if you give us your explicit permission to be kept informed about EASyM and the field of Systems Medicine in general.
EASyM business contacts
Based on the Privacy and Electronic Communications (EC Directive) Regulations 2003 (PECR2003), we collect, store and process your business contact details if you are working in Systems Medicine and related areas, provided they are accessible online. In addition, EASyM is continuing the legacy of the Coordinating Action Systems Medicine (CASyM). We also store and process any business contact details previously made available to CASyM.
The following applies to all data subjects:
In case you are taking part in an EASyM event or activity and/or avail of our services or products, your contact data will be collected, e.g. for processing of payments or for sharing some of your personal data as an event participant for the administration of such events, including the transfer to third parties such as hotels and transportation providers, and may be stored for ten years or as long as required (German Fiscal Code § 147 – formal rules on storage of documents)
The legitimate interests of the controller or third party, where applicable
EASyM supports the Systems Medicine community and Systems Medicine stakeholder. In order to do so, we need to know who it is that we are supporting. As part of our general cooperative operations, we require data about our members and the Systems Medicine community in general in order to plan our strategy and analyse our growth, as well as to identify where we are needed most. This may include mapping of publicly available information of professional nature to develop database of qualified professionals/experts in relevant field for the purpose of joining advisory boards, speaking engagement and otherwise engaging with EASyM.
When organising an event, publishing a newsletter or creating a new service, collection of data about our members’ and associates’ interaction with the service, newsletter content or advertisement is necessary for the development and enhancement of our activities.
We also collect, store and process data to allow for personalised services and communication as well as for targeted marketing.
Any recipient or categories of recipients of the personal data
Persons and legal entities who may receive access to parts or all of the contact data collected by EASyM include the following: EASyM Executive Board members, EASyM support staff, EASyM members active in Task Groups, Project Groups, Regional boards or otherwise active on behalf of EASyM, representatives of EASyM partner organisations or institutional members, training course accreditation organisations, contractors and service providers, particularly in the area of communication, education & outreach, marketing, multimedia, IT and event management.
EASyM will not share your personal information with third parties beyond this use unless it is legally obliged to on a statutory basis or to contact or to start legal procedures against persons or legal entities causing harm to you, the EASyM or other parties.
Details of transfers to third country and safeguards
We at EASyM take care that any personal data we have collected is stored and processed within the EU. Where a recipient is outside of the EU, we do our best to ensure that they comply with the safety standards outlined by the EU.
Retention period or criteria used to determine the retention period
As mentioned above, contact and personal details EASyM obtained in relation to payment processing may be stored for 10 years or as long as required, according to German Fiscal Law.
Personal data collected in relation to training course accreditation will be stored in accordance with the rules of the credit-awarding organisation which may differ in retention period from those of EASyM.
Members’ personal details will be retained at a minimum for the duration of their membership. Where membership fees were processed, the storage regulations of the German Fiscal Law will again apply.

The existence of each of data subject’s rights
Your rights are:
Right of access – you have the right to review your data. You can request to do so by emailing firstname.lastname@example.org
Right to request rectification – If your contact details change or if you realise that we have incorrect or incomplete personal data about you, you can request a data rectification. You can request to do so by emailing email@example.com
Please note: if you are a member of EASyM, statutory calls and messages will be delivered to the latest email address you have provided us with. If your email address changes, it is your responsibility to inform us about the changes.
Right to request erasure or deletion of data – If the legal base for EASyM’s storage and processing of your data is missing or obsolete, you can request the erasure or deletion of your data. For deletion of personal data after withdrawal of consent please see “the right to withdraw consent, where applicable”
Right to impose a restriction on processing – Depending on a legitimate interest of yours, you can request for the processing of your data to be restricted, by either of these methods:
- temporarily transferring the selected data to another processing system;
- making the selected data unavailable to users; and
- temporarily removing published data from a website.

Right to object to processing – You have the right to object to processing of your data for direct marketing purposes or on grounds relating to your particular situation, grounds of public interests or legitimate interest grounds. You can request to do so by emailing email@example.com
Right to data portability – You have the right to request from EASyM that we transfer your personal data to another data controller. You can request to do so by emailing firstname.lastname@example.org
Right not to be subject to automated individual-decision making (including profiling) – you have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you. EASyM does not perform such processing in the provision of membership services to its community.
When you exercise one of your rights, EASyM must respond within one month from receipt of the request. This one-month period may be extended by two additional months, if so required due to the complexity and number of requests. In this case, EASyM must inform you of the extension. In case you feel that EASyM has not responded appropriately to your request within the given time period, you may wish to contact the data protection commissioner of North Rhine-Westphalia , Germany (see https://www.ldi.nrw.de).
The right to withdraw consent at any time, where relevant
If you are member of EASyM, we are obliged to properly inform you about EASyM benefits, events and publications organised by, or on behalf of EASyM. This obligation will only rest when you resign your EASyM membership in writing (or if you are expulsed). In this case, we will ask you for permission to continue keeping your contact details for the purpose of keeping you informed about EASyM. If you do not give explicit consent, we will not contact you in future. For specific EASyM events and activities, we may set up a dedicated newsletter campaign. As an EASyM member, you will be able to unsubscribe from these specific newsletter campaigns.
EASyM Newsletter subscribers and business contacts can withdraw their consent any time. Private contact data will be deleted, while business contact data will be stored to prevent future collection and storage of the same business contact details when openly accessible online. Please note that EASyM may hold more than one of your email addresses. We will process only the email address(es) which is/are spelled out in the unsubscribe request.
Website and cookies
Every time a user accesses a webpage hosted by Converge S.A. and every time a file is downloaded, data related to these processes are stored in a log by Converge S.A. These data do not contain personal information; we are unable to trace which user accessed what information. Personal user profiles therefore cannot be created. The data that are saved will be used for statistical purposes only. This information will only be disclosed to European Association of Systems Medicine e.V. but to no other third parties.

Yes, EASyM is authorised to modify or alter this privacy notice from time to time. An alteration or modification can result from unforeseen circumstances, future legislation or changed policies within the EASyM.
